WritersGroup.co.uk is a Protheorem Ltd project. In these policies, ‘we’, ‘us’, and ‘our’ refer to WritersGroup.co.uk and Protheorem Ltd where applicable.

The site provides writing tools, writing and reading events, online Writing Rooms, Saturday retreats, community information, resources, and related updates.

These policies are intended to explain how the site works in ordinary, practical terms. They do not replace any specific terms shown at the point of booking, purchase, or sign-up.

Using this website

You keep the rights to your own writing. Using a prompt, attending a Writing Room, joining a retreat, or taking part in a WritersGroup activity does not give us ownership of your work.

Sending an enquiry through the contact form does not automatically add you to the mailing list unless you choose to receive updates.

Each marketing or update email should include a way to unsubscribe. You may also contact us and ask to be removed from email communications.

You are welcome to resubscribe at any time.

Transactional emails, such as booking confirmations, payment receipts, access information, or replies to enquiries, may still be sent where needed to provide a service you requested.
Event booking terms

Meetings, Writing Rooms, retreats, and workshops

WritersGroup.co.uk may list or run free and paid events, including Portishead meetings, Bring Your Own Book sessions, online Writing Rooms, Saturday retreats, workshops, courses, and other writing or reading activities.

Event details, including date, time, location, online access, price, format, and availability, will be shown on the event listing or booking page where possible.

Bookings are subject to availability. For paid events, your place is not confirmed until any required payment has been completed and a confirmation has been issued.

You are responsible for entering your details correctly when booking. If you enter an incorrect email address, you may not receive booking confirmation, online access links, reminders, or updates.

Online events require a suitable device, internet connection, and any relevant meeting link or access details. We are not responsible for problems caused by your own device, internet connection, software, or failure to check access details before the event.

We may refuse, cancel, or remove a booking where reasonably necessary, including where there is misuse, disruptive behaviour, suspected fraud, non-payment, or a breach of these terms.

Refunds and cancellations

Paid Writing Rooms, retreats, and workshops

Refund and cancellation terms may vary by event. Where event-specific terms are shown on the booking page, those event-specific terms will apply.

If you cannot attend

If you have booked a paid Writing Room, Saturday retreat, workshop, or similar event and can no longer attend, please contact us as soon as possible.

As a general policy, refunds are not guaranteed for missed events, late arrivals, non-attendance, or cancellations made shortly before the event. However, we may consider a transfer to another available session where practical and at our discretion.

If we cancel or change an event

If we cancel a paid event, we will normally offer either a refund or a transfer to another suitable event where possible.

If we need to make a significant change to a paid event, such as a major time, date, format, or access change, we will try to let booked attendees know using the contact details provided at booking.

Free events

Free meetings and free events may be changed, cancelled, postponed, or withdrawn where necessary. We will try to keep published information up to date, but free events may change at short notice.

Access problems

For online events, please check your access link, device, sound, camera if needed, and internet connection before the session starts. Refunds are not normally available where you cannot attend because of your own technical problem, late arrival, or failure to check access information.

This section is intended to give clear working terms for small events. If a specific event has different cancellation terms, the terms shown on that event page should be followed.
Community guidelines

WritersGroup community spaces

WritersGroup community spaces may include email groups, forms, online discussion areas, event chats, comments, workshops, online sessions, or future community features.

Community spaces should be useful, considerate, and relevant to writing, reading, events, feedback, tools, and resources.

Please do not:

  • Post spam, promotions, or unrelated links
  • Harass, insult, bully, or deliberately provoke other members
  • Post other people’s private information
  • Upload harmful files or malicious links
  • Demand instant feedback or post long extracts without first checking whether people are willing to read them
  • Copy, share, or republish another member’s writing without permission
  • Use sessions, meetings, or community spaces to pressure people into buying unrelated services

We may remove posts, restrict access, refuse bookings, or remove people from community spaces or events if needed to protect the group or keep the space usable.

Accessibility

Accessibility statement

We want WritersGroup.co.uk to be clear, readable, and usable. We aim to use plain navigation, readable layouts, strong colour contrast, and page structures that work reasonably well on desktop and mobile devices.

Accessibility work is ongoing. As the site grows, we will need to keep checking forms, tools, event pages, embedded content, downloadable materials, and community links.

If you find something on the website difficult to use or access, please contact us and let us know what the issue is. We will consider reasonable improvements where we can.
